Personal Assistant
at Central Bank of Ireland in Co. Dublin
We currently have a vacancy for an ambitious PA who seeks to have an impact on Irish financial regulation by supporting the Management of the Consumer Protection Division. You will assist in prioritising work, oversee the management diaries, keep minutes of certain meetings and liaise with various internal and external stakeholders.
Main Duties:
• Comprehensive support of the day to day duties of the management team.
• Handling all correspondence and phone calls in a timely and professional manner
• Preparing briefing documents/ memos for meetings
• Extensive Diary and outlook calendar management
• Co-ordinating internal , external, local /international meeting arrangements, via teleconference or other as requested, including arranging agendas, travel, accommodation, attendees, etc
• Producing documents, briefing papers, reports and presentations
• Co-ordinating meetings
• Secretary to departmental/ divisional meetings
• Planning, handling and tracking of work in the absence of the management team
• Liaising with other staff and management on behalf of the management team
• Devising and maintaining office systems
• Managing business correspondence of a highly confidential and sensitive nature including reports, major projects etc
• Dealing with any ad hoc administration requests that may arise including holiday/sickness cover for other secretaries within the business expenses, filing and photocopying
• Expense management and accounting of expenses for whole team
• Providing administrative support to projects
Personal Attributes:
• Extensive PA experience at Director/Board Level
• Ability to work efficiently and effectively, without supervision, in a fast moving environment where priorities can change frequently
• Ability to read, understand, prioritise and action, where possible, all incoming queries, messages
• Discretion and confidentiality
• Good/proven judgement
• Diplomacy
• Confidence/firm belief in own ability/decisions
• Strategic overview “bigger picture”
• Flexibility
• Ability to delegate where necessary
Skills:
• Proven track record in providing support at senior management level
• Excellent and effective IT skills including Word, Excel, Outlook and PowerPoint
• Able to prepare and use Powerpoint to create presentations
• Excellent Communications skills
• Excellent time management and organisational skills
• Strong writing/reporting skills
